Hi melanietk,

Yes I will not give out the names of the people as they send info privately, but it all depends on what you provide.

You get more if you provide more.

I was providing and organising all the entertainment for the expo in Sydney, plus performing on stage 3 times a day.

As a result I received some fre stands which I am giving out to those entertainers who are providing the most
we also will receive web links in the sponsors area of the web site and also the visitor guide that is handed out will have a logo/info. We also received free tickets that we can use to put on competitions in our local media and on our own site.

This is very good for not just me but all the entertainers, If the entertainers cannot provide full services for the 3 days they get space only to set up their entertainment/activity for that time.

we have also positioned the entertainers in key area's such as cafe's so as not to conflict with the other exhibitors, and to give parents the opportunity to rest in the cafe area's while the kids can enjoy the entertainment.

however I recently contacted the expo for PA's and offered entertainment for their gala dinner- and they didn't want to give anything away, I even offered to do the dinner for free with no exhibit and they still were not interested.

Origianlly when we spoke they had a spot open on the stage for a full show and I was keen to exhibit, then the entertainment by design got involved so they have the main stage, which only allowed for a 15 minute spot in between entree's and mains on the stage- I would not fork out over $2000 for a stand so I could be apart of the dinner for 15 minutes, so I said I will not be exhibiting- as soon as I said this they were not interested in magic at all. Bit of a joke if you ask me and it is their loss. when I work I do not charge the over the top prices which woud have been of benefit to their PA members but no they would rather have entertainment that starts at $3000 to offer their PA's.

so different organisations want different things- some are in it for themselves and to see just how high their bank balance can go, and others are interested in helping people

Hm I'm sorry I missed this thread earlier. I've been a bit slack in visiting, due in part to some serious deadlines on, strangely enough, a family orientated show for approximately 15000... Not that I think there's any correlation, but it seemed an interesting coincidence

I'm curious as to what kind of answers were received (although I understand why they might have been private) as I'm not familiar with the expectations of both promoters or suppliers, dealing mainly with BOH logistics rather than front line relationship building and marketing.

Do any of the contributors to Darth's answers have some broad stroke responses that are fit for public consumption, some general advice or guidelines or just some know-how on what is the basic expected return on a sponsorship investment of time and services rather than money or products? Does it depend on the type of show or are there some base-line expectations for every venture?

Thank you all for those who sent info privately to help me and the entertainers

I now have great promotions for the entertainers I am trying to help such as

Free stands
free Website advertisements
free Advertisements in the visotr guide that is give to all visitors as they walk in

This has really helped the entertainers I am working with, none of them work through agencies, and as a result do not normally get the exposure they should be getting, I also fall into the category of not working with agencies to the point where I have given up trying to get onto their books, so I am a DIY kind of guy and I enjoy helping those who have a quality service but are struggling against the onslaught of horrible agencies out there (And they are popping up everywhere)

A Recent lesson I Learned with agencies their commission is 10% only, make sure your paying the right amount. (The worst offender is making 60% )

anyway thank you very much for your private emails, it is this knowledge that can trully make the difference and really help people, and I know people like PCO on this forum will scare you off from joining because all they do is put people down, but your knowledge can grow this forum to become something powerful and useful, so get involved and lets grow the industry.
(NO SARCASM IN THIS EMAIL)

Hello Folks,

THE SITUATION
I am sponsoring a trade show in the next couple of months AIMED AT FAMILIES

I am providing All the entertainment for the exhibition and negotiating with other entertainment agencies getting them involved (because realistically it is a big task.

I am not getting paid as budget is zero, so none of the entertainers are getting paid- however they can promote and demonstrate their services at the show.

MY QUESTION
What is reasonable to ask for in the way of promotion for the expo. What should I be getting in terms of advertising.

Also one of the problems is that I am organising other entertainment and they would also want free promotion and exposure, so there is no point gettting all the exposure

I am new to asking for advertising and exposure and don't really know what I should be getting and what I should be getting for those helping me, some just do it for the exposure- but I want to help them as much as posiible which is why my kids entertainment company was originally created.

Any suggestions would be greatly appreciated.

I am thinking:

A Web page on the exhibition site which will have links to all the other entertainment companies
Various announcements when each entertainer starts their segment and a location
An exhibition stand where they can work,

These entertainers will not be working all day, they will be coming in and going, so when they are at the expo they can use the exhibition stand.

One of the problems is the show bag- there are going to be over 15000 visitors and that is far too much for an entertainer to create a flyer for the show bag, perhaps they could include a page in the show guide for the entertainers.

anyway any suggestions on what I and the other entertainers should be gettting would help me

Thank you
edited by Darth Venue on 6/03/2010
